Shopify locations for card inventory: where stock should live and why cards show “Sold out”

The most common support question we get from Shopify card sellers is “I pushed my inventory and everything says Sold out.” It is almost always a location problem. This guide explains how Shopify decides what is in stock and how to arrange locations for a card shop.

How Shopify decides a variant is in stock

Inventory in Shopify is tracked per variant per location. A variant is available online when it has quantity at a location that fulfills online orders. Quantity at a location that does not fulfill online orders, such as a retail-only location or an app-managed fulfillment service, does not count. That is why a variant can hold ten copies somewhere and still read Sold out on your storefront.

Two more rules trip people up. First, a variant has to be activated (“stocked”) at a location before a quantity can be set there; setting a quantity at an unstocked location silently does nothing. Second, every store has a default location, which is the one new products are stocked at and the one online orders ship from unless you configure something more elaborate.

The set-up that works for a card shop

  1. Keep one location for both online and in-store stockFor a single-store shop, mark the shop itself as the default location and let it fulfill online orders. POS sales and online sales then draw from the same numbers, which is what you want for singles.
  2. Make sure the default location fulfills online ordersShopify admin → Settings → Locations → your location → confirm “Fulfill online orders from this location” is on. If it is off, nothing at that location is available online.
  3. Do not stock cards at app-managed locationsFulfillment apps create their own locations (a “warehouse”). Inventory that lands there is controlled by the app and usually cannot ship from your counter. Card inventory tools should write to your real location.
  4. Check the countryIf you have locations in more than one country, the one in your shop’s home country should be the default for online orders; shipping rates and labels assume it.
  5. Verify with one cardPublish a single card, open it in the storefront and confirm the Add to cart button appears. Then check Inventory in admin and confirm the quantity sits at the location you expected.

What LGSTome does with locations

When LGSTome publishes to Shopify it picks your store’s default location, preferring a real location that ships online orders in your shop’s home country and never an app-managed one. It activates the variant there when needed, sets the quantity and records which location it used. If your default location changes later, the next publish moves stock to the new location and clears the old level, so you do not end up with copies split across two places.

Multi-location shops

Two physical stores each selling singles is the point at which a single Shopify inventory stops being enough, because a buyer ordering online does not care which store the card is in but you do. The simplest approach is to designate one store as the online fulfillment location and treat the other as retail-only in Shopify, transferring stock as needed. Splitting card inventory across two online locations means every listing tool has to choose a location per push, and staff have to remember which one they pulled from.

Try this with your own binder. LGSTome is free for your first 1,000 cards.

Questions

Why did stock go to a location I have never heard of?

A fulfillment or dropshipping app created it. Those locations are app-managed; inventory tools writing to “the first location” sometimes land there. LGSTome skips them.

Can I keep POS stock separate from online stock?

You can, by using two locations and turning off online fulfillment for the POS one. For singles this usually causes more oversells than it prevents, because the same physical binder sits behind both.

Does changing my default location break existing products?

Existing inventory stays where it was. LGSTome moves its own products to the new location on the next publish; products you created by hand need to be transferred in Shopify admin.
